1. About Serve Society TYO

Serve Society TYO is a curated tennis circle for Black women and allies, based in Tokyo, Japan. It is operated by Sango Osei-Baidoo ("the Organiser"). Sessions are social and recreational in nature and are not professional sporting events.

2. Membership and Participation

Serve Society TYO is a curated, private community. The Organiser reserves the right to:

• Accept or decline any application for membership or session participation at sole discretion, without obligation to provide a reason
• Remove any member from the community whose behaviour is deemed disruptive, disrespectful, or inconsistent with our values
• Limit session capacity to ensure quality of experience for all members
• Modify session formats, locations, or times as needed with reasonable notice

Membership is personal and non-transferable. You may not transfer your spot to another person without prior written consent from the Organiser.

3. Session Booking and Payment

Your spot at a session is only confirmed once full payment has been received. Submitting an interest form does not guarantee a place.

• Session fee: ¥6,000 per session (regular members)
• Founding Member rate: ¥3,000 per session (locked at time of Founding Membership purchase)
• Payment is required upfront before the session date
• Payment method will be confirmed by the Organiser upon spot confirmation

4. Cancellation and Refund Policy

The following cancellation policy applies to all confirmed session bookings:

• 7 or more days before the session: Full refund. No charge.
• Within 7 days of the session: 50% of the session fee is retained. 50% refunded.
• On the day of the session or no-show: 100% of the session fee is retained. No refund.

All cancellations must be made in writing via email to hello@servesociety.tokyo or by direct message to @servesociety.tyo on Instagram. The date and time of your written cancellation will determine which policy applies.

If Serve Society TYO cancels a session for any reason, you will receive a full refund or the option to transfer your payment to a future session.

5. Founding Membership

Founding Membership is a one-time, non-refundable fee of ¥10,000 that grants the following benefits:

• Priority booking for all sessions before general availability opens
• Locked session rate of ¥3,000 per session for the lifetime of your membership
• Access to the private Founding Member communication group
• Recognition as an original member of Serve Society TYO

Founding Membership is personal and non-transferable. The Founding Member rate applies only to the individual who purchased it. The one-time fee is non-refundable under any circumstances.

6. Waiver of Liability

• You participate in all sessions entirely at your own risk
• You are physically fit and capable of participating in recreational tennis
• You will inform the Organiser of any health conditions, injuries, or physical limitations that may affect your ability to participate safely, prior to the session
• Serve Society TYO, its Organiser, and any associated parties accept no liability for any injury, illness, loss, or damage sustained during or in connection with any session or event, to the fullest extent permitted by law
• You will follow all court rules and safety guidelines at the session venue
• You will use appropriate footwear and equipment as instructed

This waiver does not affect any statutory rights you may have under applicable law.

7. Photography and Media

Sessions may be photographed or filmed for use on Serve Society TYO's Instagram (@servesociety.tyo), website, and other promotional materials.

By confirming your session spot and ticking the relevant consent box on our booking form, you agree to the use of photographs and video in which you may appear, for promotional purposes related to Serve Society TYO.

If you do not consent to being photographed, please indicate this on your booking form or notify the Organiser in writing before the session. We will always do our best to respect your wishes.

You retain no rights over photographs taken at sessions. Serve Society TYO retains full rights to all content created at its events.

8. Code of Conduct

All members are expected to uphold the values and standards set out in our Code of Conduct. Behaviour that is disrespectful, discriminatory, or harmful to other members will result in immediate removal from the session and community, with no refund.

9. Session Cancellation by the Organiser

Serve Society TYO reserves the right to cancel or postpone any session due to circumstances beyond our control, including but not limited to court unavailability, adverse weather, or insufficient bookings. In such cases, all confirmed members will be notified as soon as possible and offered a full refund or transfer to a future session.

10. Personal Property

Serve Society TYO accepts no responsibility for loss of or damage to personal property during sessions or events. Members are responsible for their own belongings at all times.

11. Changes to These Terms

We may update these terms from time to time. Any changes will be posted on this page with an updated date. Continued participation in sessions after changes are posted constitutes acceptance of the updated terms.

12. Governing Law

These terms are governed by the laws of Japan. Any disputes arising from these terms or your participation in Serve Society TYO shall be subject to the exclusive jurisdiction of the courts of Tokyo, Japan.
